Servizi2. Procedures and Documents During the Mobility Period
2.1 Upon Arrival at the Host Institution
Upon arrival, ask the host institution Supervisor to complete and sign the so-called Attestazione di Soggiorno (Certificate of Stay, attached to the Financial Contract, see Section 1.6 - Before the mobility Erasmus+ Traineeship), in the "ARRIVAL" section. The document must not include any handwritten corrections to dates or personal information.
You must send the Certificate of Attendance to the International Mobility Office at Univr via Service Desk within 5 days of your arrival as proof of the official start of the mobility period.
2.2 Learning Agreement – “During the Mobility”
If there are substantial changes compared to the initial plan outlined in the "Before the mobility" section of the Learning Agreement, these must be recorded in the "During the mobility" section. Once the changes are approved by both the sending and host institutions, send a signed copy of the updated Learning Agreement to the International Mobility Office via Service Desk.
2.3 Extension of the Mobility Period
If you wish to extend your mobility, you must plan it well in advance (at least two months before the current grant period ends) and obtain authorisation from the host institution.
WARNING: the host institution can approve or deny the extension request based on internal regulations.
The Extension Request must be sent to the International Mobility Office (via Service Desk) at least 30 days before the official end date of the grant or the end date specified in the Learning Agreement.
You may request an extension:
- only once;
- provided the total mobility period (including the extension) does not exceed 5 months and ends no later than September 30 of the relevant academic year;
- only after previously agreeing on and including the new activities in the updated Learning Agreement, approved by all parties involved. The signed Learning Agreement must be attached to the Extension Request.
If the request is approved, the authorisation will be made available in Esse3 in the so-called "Fasciolo Studente" section. The additional period may be funded only if resources are available.
At the end of the mobility period, including the extension, the student must submit a Certificate of Attendance (see 2.4) reflecting the whole stay.
2.4 At the End of the Mobility Period
Before returning, students must ask the host institution's contact person / Supervisor for the following documents:
- The original Certificate of Attendance, completed and signed also in the "DEPARTURE" section, with no handwritten corrections to dates or personal details;
- The Learning Agreement, completed in the "After the mobility" section.
2.5 Early Return
Students may terminate their stay early for valid and proven reasons by informing the International Mobility Office and providing justification for the early return. The unused grant portion must be returned (see Section 4.2 – After the mobility Erasmus+ Traineeship).
The grant must be returned if the mobility period is less than 2 full months (60 days).
3. How to Organise Your Stay Abroad
3.1 Travel Safety
Students are strongly advised to register online with the Italian Ministry of Foreign Affairs (MAE) to receive assistance in case of emergencies while abroad.
3.2 Insurance
Students from the University of Verona participating in a mobility program at a foreign institution officially recognised by the University are covered by:
- accidents policy for permanent damage to people, caused by accidents that occur during main or secondary institutional activities, related to the mobility programme.
- civil liability policy for events referred to an Univr student.
IMPORTANT: these policies do not cover medical or paramedical activities. For degree programs in medical or healthcare fields, students must check with the host institution whether additional liability insurance is required for any damages caused to third parties during the traineeship. If necessary, students must take out private insurance at their own expense.
For full details, refer to the official descriptions of the policies.
In case of an accident abroad, contact the International Mobility Office, which will notify the relevant department.
3.3 Healthcare
For healthcare while abroad, students must have a valid European Health Insurance Card (EHIC / TEAM), which allows access to public healthcare services in the destination country, according to its national regulations.
For non-EU countries that do not have agreements with Italy, different protections apply (see Italian Presidential Decree 618/1980, Art. 15). In such cases, students may pay healthcare costs upfront and request reimbursement later (e.g., for Turkey and the United Kingdom).
The local health authority (ULSS) can issue, upon request, a certificate known as the "Certificate for Italian citizens abroad" to support healthcare assistance.
Contact your local ULSS office or visit the Italian Ministry of Health website for more information about healthcare abroad.
Non-EU citizens enrolled at Univr and residing in Italy may request an EHIC by registering with the Italian National Health Service (SSN), unless special conditions apply.
WARNING: non-EU citizens cannot use EHIC in Denmark, Iceland, Liechtenstein, Norway, or Switzerland, as it is not covered under current EU legislation (Regulation EC 859/2003).
In such cases, it is strongly recommended to purchase private health insurance.
