1. Prepare your Erasmus+ Traineeship / Research for Thesis mobility

1.1 Information

Plan in advance the activities to be carried out during the Erasmus+ mobility period and consult:

  • the official Call for Applications and all its attachments;
  • the websites of affiliated bodies or any other organisation of interest, provided that they meet the requirements set out in Articles 1.1 and 1.2 of the Call.

1.2 Independently Contact a Foreign Host Organisation

Identify and independently contact one or more organisations of interest, verifying their willingness to host you for a traineeship or research for thesis. You may refer to the list of affiliated bodies with the University of Verona, but this is not mandatory. What matters is that the institution is located in one of the eligible destination countries listed in Article 4.2 of the Call and meets the requirements in Article 1.

At this stage, preparing a CV and informing the institution that you intend to carry out a traineeship funded by the Erasmus+ Traineeship programme through the University of Verona is advisable.

Students planning to undertake professional traineeships (for example in healthcare, education, pedagogy, psychology, social work, etc.) should check with their Department (student offices, teaching boards and/or any relevant committees) before submitting their application, to ensure the eligibility of the host institution and the Learning Agreement for Traineeships in terms of recognition of the activities to be carried out abroad.

1.3 Preparing the Learning Agreement

Agree on a work plan (Learning Agreement for Traineeships, to be completed only in the Before the mobility section, pages 1 and 2) with the host institution and a professor from your degree programme, who will be your academic tutor.

The academic tutor must be a professor from your degree programme at the University of Verona. Students must independently choose a tutor to approve the planned activities with the host institution.

1.4 Draft Application

Once the “Before the mobility” section of the Learning Agreement is complete, you may fill out the application form in Esse3 and upload the following:

  • the Learning Agreement for Traineeships as a single readable PDF file, including all required data and signatures;
  • for students from non-EU countries: a copy of documentation regarding “permanent resident,” “stateless” or “refugee” status and / or a copy of a valid residence permit (preferably covering the entire duration of the stay abroad). If awarded an Erasmus+ grant, these students must regularise their legal status (permit renewal, visa, etc.) before departure and throughout the mobility period, or risk revocation and repayment of the scholarship;
  • for PhD students: a PDF summary of the authorised mission from Web-Missioni.

After uploading the required documents in Esse3, leave the application in draft status and send a message to the International Mobility Office via Service Desk (refer to: Direzione Studenti > Mobilità Internazionale > Erasmus+ Traineeships) informing of your submission for review.

The office will check the documents and provide feedback on their validity as soon as possible.

1.5 Accommodation

Students are responsible for independently finding accommodation. We recommend asking the host institution for information on possible agreements or local housing options, or contacting ASE ESN Verona for support from students who have previously participated in a mobility.

1.6 Financial Agreement

Based on the available funds and the monthly amount assigned to each destination country according to economic status - ISEE (see Article 4.3 of the 2025/2026 Call), the International Mobility Office will prepare the financial contract for each student awarded an Erasmus+ mobility grant, according to the number of months specified in the Learning Agreement. ISEE data is retrieved from the INPS database.

Students must sign the financial contract before departure, following the instructions and deadlines provided. At the time of signing and throughout the mobility period, students must be enrolled full-time and up-to-date with university fee payments at the University of Verona.

1.7 Equal Opportunities and Sustainability

Students with fewer opportunities (due to physical, mental, or health-related conditions and / or socio-economic disadvantage) may apply for an additional financial contribution.

There is also a contribution to the round-trip travel costs of participants, calculated based on the kilometer range from their place of origin (which means Verona) to the destination. In case of an ecological trip (round-trip made mostly by low-emission means of transport, such as bus, train or car sharing), the contribution may increase. 1.8 Online Linguistic Support (OLS)

The European Commission provides a system for self-assessment, monitoring, and improvement of language skills before (= initial assessment test), during (= online course), and after (= final assessment test) the Erasmus+ mobility period, called OLS – Online Linguistic Support.

1.9 Personal Documents

Before departure, check that:

  • your identity card is valid for travelling abroad. Warning: some non-EU countries require a passport. For more information, contact the Civil Registry Office of your municipality or consult the Passport Office website of the Questura of Verona;
  • your European Health Insurance Card (TEAM or EHIC) is valid (see Section 3.3 – During the Erasmus+ Traineeship).

1.10 Withdrawal from the Erasmus+ Mobility Grant

In case of serious impediments, students can withdraw from the Erasmus+ mobility grant by submitting a motivated statement of Withdrawal via Service Desk (see Withdrawal Form).
