Servizi4. Documents to submit at the end of the mobility
4.1 Upon return
Within 30 days after returning, the student must send the following documents to the International Mobility Office of the University of Verona (Univr), via Service Desk:
- original Certificate of Stay, completed and signed by the host institution, including the “DEPARTURE” section, with no handwritten corrections to dates or personal details;
- Learning Agreement “After the Mobility”, completed and signed by the host institution;
- Learning Agreement “During the Mobility”, only in case of changes to the original Learning Agreement.
After verification by the office, the student will receive a link to complete a final questionnaire (EU Participant Report) regarding the Erasmus+ experience abroad (via an online procedure).
If the required documents are not submitted within the deadline, or if the questionnaire is not completed, the University will request repayment of the Erasmus+ grant and any additional contributions received, as stated in the Financial Agreement (see section 1.6 – Before the Erasmus+ Traineeship Mobility).
4.2 Calculation of the actual Erasmus+ grant amount
To calculate the entitled grant, the office will take into account the dates indicated on the Certificate of Stay and the Learning Agreement “After the Mobility”. These documents must include consistent dates corresponding to the actual start and end of the internship and / or research for thesis activity.
The mobility duration is conventionally calculated using the rule: 1 month = 30 days. In case of incomplete months, the grant is calculated by multiplying the number of days in the partial month by 1/30 of the monthly unit contribution.
Activities shorter than 2 months (i.e., 60 days) are not eligible and will result in full repayment of the grant. Provided that the minimum duration is respected, in case of a shorter period than the one stated in the Financial Contract:
- if the difference between the actual and planned period is more than 5 days, the grant will be recalculated based on the exact number of days certified by the host institution;
- If the difference is 5 days or fewer, the grant will be awarded as indicated in the Financial Contract.
The financial coverage is granted only for the period physically spent abroad (i.e., physical mobility).
In case of proven necessity, and in agreement with Univr and the host institution, the mobility may be organised as blended mobility. In this case, the grant will be awarded only for the physical mobility period (respecting the 60-day minimum duration).
4.3 Recognition of activities carried out
Within 30 days of receiving the documents from the host institution, students must request recognition of the activities carried out abroad from the Internship and Work Placement Office or the Student Office of their degree program (depending on their situation and the instructions received), in accordance with the University Regulations for international student mobility and the specific Regulations of each degree program.
To ensure that the credits earned abroad are valid for scholarship applications and tuition fee waivers, students should request recognition of these activities as soon as possible, so that they are properly recorded before applying for such benefits.
